New Data Storage Policy: MemSource Cloud 3.7 Released

MemSource is one the few cloud-based translation technology providers that do not charge for storage. Users, except in the free Personal edition, may store as many projects, jobs, translation memories, etc. as they wish (providing the storage volume is within reasonable limits).

MemSource Cloud has been in operation for over 2 years now and that also means we store a lot of data including a lot of old data. When we analyzed how often projects older than 12 months are accessed/used, we realized that almost never. The vast majority of 12+ months old projects just sit in MemSource Cloud and take up space.

Therefore, we have decided to introduce changes to our storage policy that will come into effect with the release of MemSource Cloud 3.7 on 22 September 2013.

Recycle Bin

Data in the recycle bin that has been deleted before 30 days or earlier will get permanently deleted (as of 22 September 2013).

Projects

Projects older than 12 months will get permanently deleted by the system (as of 5 February 2014). However, users will be able to postpone the deletion for selected projects or purchase extra project lifetime when subscribing.

When a project gets deleted, the project’s jobs, analyses and reference files get also deleted. After being deleted, the project will be stored for 30 days in the recycle bin after which it will get permanently deleted.

It will not be possible to create new jobs in projects older than 6 months (as of 22 September 2013). However, users will be able to re-enable the creation of new jobs for selected projects.

Please note that a project’s age (how old a project is) is based on the project creation date.

Translation Memories and Term Bases

We will not delete any translation memories or term bases, except those that have been in the recycle bin for more than 30 days.

What Users Should Do by 30 January 2014

Users should check between 23 September and 30 January 2014 whether they still need to preserve any of their old projects. If so, they should postpone the deletion for such projects.

MemSource Cloud 3.8 Released

MemSource Cloud 3.8 has been released on Sunday, 3 November 2013 at 11:15 AM GMT. MemSource Cloud 3.8 includes over 100 improvements and bug fixes. These are the most important new features:

Project Management

  • Job dashboard
    • The job dashboard provides an overview of the statuses of a project’s jobs. It is displayed for projects 2 and more jobs and is minimized by default.

  • Project sections minimization
    • All sections (jobs, analyses, TMs, TBs…) in a project page can be minimized/maximized by clicking on the section’s title.
  • Jobs in progress
    • A new field “Jobs in Progress” has been added to the user detail page. It displays the same information that has been available already in the user list page (under “Jobs”).
  • Job status filtering
    • It is now possible to select multiple job statuses when filtering jobs in a project
  • Projects filtering by language
    • Projects can now be filtered by source and/or target language
  • Which term base for QA
    • It is now possible to select against which term base(s) quality assurance should be launched in a project
    • This can prevent a lot of noise during QA, by not selecting term bases that are not sufficiently specific for example

  • German is now available as another language  in MemSource Cloud user interface, thanks to our German localization partner zappmedia.
  • Pre-translating locked segments
    • The pre-translate feature available from within MemSource Cloud used to override locked segments. Now, locked segments are left intact.
  • New languages
    • We have added support for Sami North and Sami Lule
  • Linguist users with an outdated version of MemSource Editor will be notified

Data Storage

  • Data storage policy updated
    • We have already announced some changes to our data storage policy with our previous release. We have added some more options now and also postponed the start of old project deletion
    • As of 5 February 2014, MemSource system will start deleting projects that are older than 1 year
    • Users will be able to postpone (even repeatedly) the project deletion date for selected projects

    • Users will also be able to purchase extra project lifetime when subscribing

Pricing

  • Adjustment of our pricing in US dollars
    • The US dollar has been trading at a two-year low for some time now and the gap between our euro and dollar pricing has become too wide. Therefore, we will be increasing our US dollar pricing slightly as of 1 November 2013. For instance, the Team edition will cost $180 instead of $170 monthly per project manager. Our euro prices remain unchanged
  • Add users/upgrade online
    • It is now possible to add users and/or upgrade one’s MemSource edition directly through MemSource Cloud, without contacting MemSource support. Just click on the “Add users or upgrade edition” link under Setup in MemSource Cloud

Compatibility

  • MemSource Editor
    • MemSource Editor 3.132 or higher should be used with MemSource Cloud 3.8. Download and install now.

Integrations

  • Plunet and XTRF
    • Both Plunet and XTRF have introduced API-driven integration starting with MemSource Cloud 3.8.

Term Base

  • Term metadata tooltip
    • We have introduced a metadata tooltip that displays term metadata when browsing through a MemSource Cloud term base.
  • TBX metadata mapping
    • When importing terminology from a 3rd-party tool, such as MultiTerm, critical metadata such as timestamps, notes “note” and usage notes “usageNote” get now automatically mapped to the corresponding fields in MemSource

Aligner

  • Custom segmentation
    • It is now possible to select custom segmentation rules when aligning files.

Machine Translation

  • KantanMT
    • MemSource now supports KantanMT out of the box

File Conversion

  • InDesign and locked layers
    • The InDesign filter does not process locked layers by default (“Extract locked layers”).
  • We have redesigned our XLIFF and HTML filters to be able to provide more advanced functionality
    • For instance, we will be able to support the localization functionality of HTML5 and also introduce the support of XLIFF 2.0 more rapidly

  • Changes in how QA is applied to term bases in a project
    • QA must be specifically selected for a term base in project if QA is to be run against that term base
    • Use the qualityAssuranceTermBase parameter in the project/setTermBases API call to do this

MemSource Cloud 3.9 has been released on Sunday, 1 December 2013 at 9:45 AM GMT. MemSource Cloud 3.9 includes over 80 improvements and bug fixes. These are the most important new features:

File Converter

  • XML filter now supports XPath and tag content editing
    • We have completely redesigned our XML filter
    • It now supports XPath, a powerful query language, thanks to which translatable content can be defined in a much more complex way than previously
    • The new XML filter also supports editing the contents of inline tags in MemSource Editor (by expanding the tag, clicking in the expanded tag and hitting F2)
    • These features are only supported for newly imported XML files

  • Exclude elements in HTML
    • It is now possible to specify a list of HTML elements (tags) that should not be imported for translation

User Management

  • Project Manager User Rights Customization
    • The user rights of any project manager user can now be heavily customized
    • Early next year we will be adding an option restricting a project manager user to view/edit data by client

MemSource Editor

  • MemSource Editor 3.138 highly recommended
    • It is highly recommended to use MemSource Editor 3.138 or higher with the current version of MemSource Cloud
    • Download the latest version of MemSource Editor  now if you are using an older version

Machine Translation

  • PangeaMT Supported
    • The PangeaMT engine is now supported out of the box

MemSource Cloud 3.10 has been released on Sunday, 1 January 2014 at 2:30 PM GMT. MemSource Cloud 3.10 includes over 90 improvements and bug fixes. These are the most important new features:

User Management

  • Project manager user role customization
    • The project manager user role can now be restricted to access only projects, translation memories or term bases of a specific client

  • Revamped guest role
    • The guest role, available in the Team and Ultimate editions, will be completely revamped and will work much like the project manager role, however always restricted to data of a specific client
    • To be released later on in January 2014

File Conversion

  • ICML files supported
    • We have started supporting InCopy Document files (ICML)
  • IDML – extract master spreads
    • The option “extract master spreads” is now selected by default for newly imported IDML files

New Guest User Role: MemSource Cloud 4.0 Released

MemSource Cloud 4.0 has been released on Sunday, 9 February 2014 at 10:00 AM GMT. MemSource Cloud 4.0 includes over 100 improvements and bug fixes. These are the most important new features:

User Management

  • New guest user role
    • We have introduced a completely new guest user role
    • We have renamed all “old” guest user accounts (created before 9 February 2014) to “restricted access”
    • The new guest user role, available in the Team and Ultimate editions, works just like the project manager user role except that it is limited to projects, translation memories and term bases of a specific client
    • Just like the project manager user role, the new guest user role is highly customizable
    • The new guest role can be provided to users to do any of the following (but always limited to the data of a single, pre-selected client):
      • View/modify/create projects
      • View/modify/create translation memories
      • View/modify/create term bases

  • The “old” guest user role
    • All “old” guest user accounts have been renamed to “restricted access” and will be permanently removed from MemSource after 1 April 2014
    • It is highly recommended that MemSource administrators/project managers change all their “restricted access” user accounts to the (new) guest accounts
    • It is not possible to create new ”restricted access” user roles
    • The “restricted access” user accounts are not counted to the purchased user licenses

File Conversion

  • MS Office macro files
    • The macro-enabled MS Office file formats are now supported
    • The extensions of the newly supported file formats are: docm, dotm, xlsm, xltm, pptm, potm
  • Target font mapping for IDML
    • A target font can now be set for IDML files in the IDML file import settings
    • If a target font is not explicitly set by the user, a default target font will be used. For instance, MS Mincho will be used for Japanese by default
  • MS Office file import settings
    • We have removed the option “Import editable texts from drawings”
    • Such content will always be imported for translation from now on

Aligner

  • Multiple files can be selected for alignment
    • Saves a lot of time when there are many files for alignment
    • The file pairs (source/target) must have identical names and are imported in a zip file with a “source” and “target” folders

Project Management

  • New languages supported
    • IUM (Iu Mien)
    • MH (Marshallese)
    • CHK (Chuukese)
    • CHR (Cherokee)
    • QUC (K’iche’)

  • Email notifications
    • When job status is changed by a linguist, the project owner receives an email notification (this behavior has been in place for a long time already). Quality Assurance

  • New QA checks have been introduced:
    • Inconsistent tag content
      • Checks whether tag content between source and their corresponding target tags is identical
      • Target tags that with different tag content are displayed in orange in MemSource Editor
    • Empty tag content
      • Displays a warning when tag content is empty
    • XLIFF tags
      • This check is applied only to XLIFF source files
      • It checks, for example, whether paired tags (such as bpt and ept) are in correct order in the completed target file
      • Specifically, it checks whether bpt and ept with same rid (or id) value form a pair (where bpt is opening and ept is closing)  and that such pairs do not overlap with other pairs
    • These new QA checks are supported in the current version of MemSource Web Editor and in MemSource Editor 3.144 and higher
  • All tag-related QA checks selected by default
    • All tag-related QA checks will be selected by default for new projects

Shared Projects: Memsource Cloud 4.1 Released

Memsource Cloud 4.1 has been released on Sunday, 9 March 2014 at 9:15 AM GMT. Memsource Cloud 4.1 includes over 100 improvements and bug fixes. Below are the most important new features:

Shared Projects

  • The completely new set of shared projects features are a bit of a revolution
    • These features make it possible for separate organizations in Memsource Cloud to collaborate. Before version 4.1 translation jobs could only be assigned to linguist users. Starting with 4.1, translation jobs (more precisely projects) can be assigned to other organizations that have an account in Memsource Cloud. These are some examples of how the new shared projects feature can be used:
      • An enterprise Memsource Cloud customer can assign projects to a translation company in Memsource Cloud
      • An MLV (multi-language vendor) can assign projects to SLVs (single-language vendors)
      • A translation company can assign projects to Memsource users with the 1+ Freelancers account (and not just to linguist users)
    • Availability:
      • Currently only organizations with the Ultimate edition can start using the shared project functionality.
      • However, we plan to extend its availability to other editions soon.

User Management

  • Guest user rights modifications
    • A new setting “Show linguist names” has been introduced
      • This setting makes it possible to show/hide linguist names for guest users and by default is not selected

    • Options to create/delete projects, TMs and TBs removed
    • Option to modify projects removed
      • The reason for these changes is to position the guest role as, primarily, a read-only role
      • We will soon be introducing another solution for a “guest-like” user to create projects or jobs

Quality Assurance

  • A new QA check introduced
    • “Maximum target segment length in % of source” has been introduced as a new QA check

Machine Translation

  • Set machine translation per target language
    • Previously it was possible to set just a single MT engine per project
    • Now it is possible to set MT engines by target language in a project

  • MoraviaMT introduced
    • A new machine translation engine has been introduced, primarily for Moravia and its partners
  • NICT MT engine connector upgraded
    • Our NICT MT engine connector has been upgraded to comply with the latest version of the NICT MT engine

Other

  • Custom logos
    • Custom logos will now be displayed also on the Memsource Cloud sign in page
    • Previously, Memsource Cloud logo was displayed there, irrespective of whether an organization used a custom logo or not

Shared Projects for All: Memsource Cloud 4.2 Released

SHARED PROJECTS

  • About shared projects
    • Shared projects have been introduced in our last release (Memsource Cloud 4.1) but were only available to subscribers with the Ultimate edition. Shared projects make it possible to assign jobs not just to your linguists but also to a “vendor” or in other words to another organization that has a paid account in Memsource Cloud. Read more about shared projects in our documentation.
  • Shared projects general availability
    • With the current release we are making shared projects available in all of our paid editions.
      • Subscribers to the Team and Ultimate editions may act as both buyers and vendors.
      • Subscribers to the 1+ Freelancers and Team Start edition may only act as vendors.
  • Buyer and vendor TM in write mode
    • Previously, only a single translation memory could be selected in the write mode. Now it is possible to select both a buyer and vendor TM in the write mode in shared projects for saving segments (or the “write” mode as we call it).

TERMINOLOGY

  • Terminology extraction introduced
    • To extract terms, select relevant jobs in your project and click on Tools – Extract Terms…
    • Terms will be extracted into an MS Excel file that can be further edited and/or directly imported into a term base.

  • Additional metadata when exporting a term base
    • When exporting a term base into MS Excel, it is now possible to also export additional metadata for each term, namely:
      • Created by
      • Created at
      • Last modified by
      • Last modified at

Translation Memory

  • Additional metadata when exporting a translation memory
    • When exporting a translation memory into MS Excel, it is now possible to also export additional metadata for each segment, namely:

USER MANAGEMENT

  • Guest users may translate
    • In our previous version, guest users could be enabled to view projects but they could not translate (neither using the Web Editor nor with Memsource Editor)
    • The current version introduces a new setting in the user rights section for guest users to allow them to translate:
      • “Edit jobs in Memsource Editors”
      • Selecting this option will enable them to download the MXLIFF file and translate in Memsource Editor or click on the job name and launch the Web Editor for translating

  • TM section now displayed to linguists
    • The translation memory section is now displayed to linguist users.
    • Please note that this change does not add any extra user rights to linguists. Linguists were already able to view the TM name in Memsource Editor/Web Editor and also search the TM via concordance search
    • The main reason for displaying the TM section is to introduce consistency into the linguist job page layout as we also display the TB page to them
    • Only the TM in the write mode is displayed to linguists in the TM section of the linguist project page (the same is true for the TB section)

FILE CONVERSION

  • FrameMaker with new file import options
    • A completely redesigned FrameMaker filter includes a number of new file import options, such as:
      • “Extract custom reference pages”
      • “Extract hidden conditional text

  • IDML soft return
    • Soft return is now supported MXLIFF files (customized segmentation rules need to be used at the same time)
  • XML segmentation
    • With the new option “Segment XML,” segmentation can be turned off for XML files
  • CSV with new file import options
    • We have completely redesigned our CSV file filter
    • We have also added new file import options, including an option to process HTML code in the CSV file

  • MS Excel with HTML
    • We have introduced a new file import option to process MS Excel files with HTML code

  • Manual file type selection
    • Previously file type was determined automatically based on the file extension
    • This is still the default behavior but it is now possible to set the file type manually
    • This can be useful when the file type extension is different from the actual file type
      • For instance, your files are XLIFF but their extension is XML. In this case, selecting XLIFF as file type during file import will make sure the files are imported using the XLIFF file filter and not as XML

Other

  • New Memsource Cloud logo
    • As you may have noticed, we are in the process of introducing new logos
    • Our new logo is already displayed at cloud1.memsource.com and will also be displayed soon on our website

Introducing the Instant Quote Widget: Memsource Cloud 4.3

Memsource Cloud 4.3 has been released on Sunday, 18 May 2014 at 8:30 AM GMT. Memsource Cloud 4.3 includes over 100 improvements and bug fixes. Below are the most important new features:

PROJECT MANAGEMENT

  • Introducing the instant quote widget
    • The instant quote widget makes it extremely easy for anyone to submit new translation jobs into Memsource and receive instant word count and even a quote. All a person needs to do is click on a link (from a website or intranet – try it yourself) and upload the files for translation. No Memsource login information is needed. Once translated, the person is notified by email and can download the translated files and so the instant quote feature can serve as a mini translation portal:

      • Translation agencies can provide instant quote widgets to their customers and so receive more jobs for translation from them – because the instant quote widget is so easy and convenient to use.
      • Translation buyers can distribute instant quote widgets to any number of their business units and streamline the internal translation process.
    • The instant quote widget is  essentially a URL that can be generated by a Memsource administrator or project manager under Setup – Instant Quotes. an instant quote widget can be associated with a project template in order to apply specific project settings, use a specific price list, translation memories for the analysis, term bases for terminology, etc.

    • A Memsource organization can create any number of instant quote widgets. For instance, a translation company could create an instant quote widget:
      • For each of their major customers
      • For their website
    • The instant quote feature is available to subscribers of all Memsource editions except Personal and 1+ Freelancers.
  • Introducing quotes
    • This feature is currently only available to the subscribers of the new business editions that have been designed for translation buyers.
    • A new section “Quotes” is displayed in projects.
    • A quote can be created based on an existing analysis in a project; a price list and a net rate scheme can be applied.
    • A quote can have the following statuses:
      • New
      • Approved
      • Declined
    • Quotes can be useful for shared projects, e.g. a translation buyer can ask a vendor (translation company) to provide a quote that can be later approved by the buyer.
    • Quotes are available to subscribers with one of the business editions (BIZ Start, BIZ Team or BIZ Ultimate)

  • Introducing price lists
    • Price lists can now be created under Setup – Price Lists.
    • Price lists can be used with quotes and instant quote widgets and are available to subscribers of all Memsource editions except Personal and 1+ Freelancers.

  • New languages supported
    • Karen
    • Scottish Gaelic
    • Chin (Hakha)
    • Chin (Zo)

Instant Quote Widget for Your Website: Memsource Cloud 4.4 Released

INSTANT QUOTE WIDGET

    • Job Widget Renamed to Instant Quote Widget
      • We have renamed the job widget to instant quote widget, a more of a self-explanatory name we think.
      • We have created a dedicated instant quote widget page in our user documentation to better explain its features.
    • Integrate the Widget  into Your Website Using an IFrame
      • It has become very easy to integrate the widget into your website. Simply add the widget’s IFrame HTML code. We have done it right here:

  • Appearance
    • The widget’s appearance can be easily modified by tweaking its colors, using CSS color codes or CSS color names, such as red, green, azure, etc.
    • Webmasters can use an additional library that will make it possible to resize the IFrame (covered in our documentation)

  • Default Project Owner
    • It is now possible to set a default project owner for any instant quote widget.
    • The default project owner will be receiving all email notifications related to the widget and will also own all projects generated through the widget.
  • Last Used Values Remembered
    • Values that were last entered in the widget such as source language, email address, etc. are remembered so that they do not need to be entered over and over again.
  • Source and Target Languages
    • It is now possible to narrow down the source and target languages that should be displayed in the widget.
    • However, the widget user can click a “More…” link to have all languages displayed.
  • Paste Text
    • It is now possible to paste text from clipboard directly into the widget as an alternative to uploading a file for translation.
    • Memsource will automatically create a TXT file from the pasted text

  • Note
    • The note field is now displayed also during quote approval, so that any comments can be added when approving the quote.

PRICE LISTS

  • Minimum Price
    • A minimum price can be set per target language under Setup – Price Lists.
    • The minimum price is then reflected in all quotes, including the automatically produced instant quotes.

ANALYTICS

  • A New Analytics Page
    • We have introduced a new analytics page that can be accessed via Setup – Analytics.
    • We plan to expand on the data and chart types that are currently available. Any suggestions welcome at support@memsource.com.

SHARED PROJECTS

  • New Email Macro
    • We have introduced a new macro for email templates: {buyer.name} in shared projects. An equivalent macro {vendor.name} is already supported.
  • Default Project Owner
    • When an organization acts as vendor, its buyer(s) are listed in a new section Buyers under Setup.
    • It is now possible to set a default project owner for each buyer.
    • This means that all email notifications related to shared projects of a buyer will be delivered to the vendor organization’s default project owner.

Context

  • More context available
    • When translating, it is important that translators have access to the context of the translated content. This can be especially critical in software localization.
    • Three types of context information have been introduced:
      • Context key
        • For instance the key in a java properties file
        • The context key information is retrieved from source files automatically
        • Supported for: chrome json, csv, desktop entry, dtd, joomla ini, json, mac strings, mif, mozilla properties, po, properties, resjson, resx, srt, ts, windowsrc, xliff, xml, yaml
      • Context note
        • Additional context information
        • Can be set by user in file import settings
        • Supported for: chrome json, csv, json, mac strings, po, resjson, resx, sbv, srt, ts, windowsrc, xliff, xml, yaml
      • Context origin
        • Information about the origin of a segment. This context information is retrieved from the source file.
        • For instance, this value can be “footer” for a segment originating from the footer of a DOCX source file.
        • Supported for: desktop entry, mif, ts, MS Office
    • Important
      • Please note that the context information can be currently viewed only in Memsource Editor 4.153, which is a pre-release version (context info can be toggled via Ctrl+N). We will soon publish an official release and also plan to start supporting context information in Memsource Web Editor in one of the next releases.

User Management

  • Automated Linguist Activation and Deactivation
    • When an inactive linguist user is assigned to a job, the user is automatically activated
    • When a linguist user sets a job to completed and has no other jobs in progress, the linguist user is deactivated
    • This feature will initially only be available in the Ultimate/Biz Ultimate edition, later also in the Team/Biz Team editions.
    • To turn this feature on, go to Setup – Access and Security and select “Activate/deactivate linguists automatically.”

Introducing Gengo Human Translation Engine: Memsource Cloud 4.5 Release

Memsource Cloud 4.5 is scheduled for release on Sunday, 17 August 2014 at 9:00 AM GMT. Memsource Cloud 4.5 includes over 100 improvements and bug fixes.

Human Translation

  • Pre-translation from translation memory and machine translation has been available right from the start in Memsource Cloud. Now we have added human pre-translation powered by Gengo.

  • Gengo is the world’s leading crowdsourced human translation provider that supports dozens of language pairs (primarily with English as either the source language or target language).
  • Memsource is able to offer Gengo translation at the Gengo API rate of $0.05 per word for any language pairs until the end of 2014 (the non-API rate is $0.06). Gengo charges no minimum fee, so even a single word can be translated at this rate from within Memsource Cloud.
  • Gengo works best:
    • When fast turnaround is important
    • For shorter texts
    • For content that is not highly complex such as:
      • Blog/news/social media and other digital content
      • Product catalogs
      • Website translation
      • Etc.
  • Gengo can be a very useful resource for translation companies:
    • When they run short of their own translators.
    • For small translation jobs that would be inefficient if translated by the agency’s standard translation process.
  • Billing for Gengo services is extremely simple and works in the same way as for machine translation providers in Memsource. Simply sign up with Gengo, top up your credit and enter your API token in Memsource Cloud under Setup – Human Translation Engines. Refer to our Gengo setup guide for detailed instructions and screenshots.

Project Management

  • Linguist Notification and Selection when Creating a New Job
    • Linguists can now be notified of a new job already during new job creation.
    • Linguists can be entered for all workflow steps already during new job creation (relevant for projects with workflow).

  • “Locked” Renamed to “Delivered”
    • We have changed the job status label “locked” to “delivered.” From a functional perspective nothing has changed, this is really just about renaming. We found that “delivered” makes more sense and in fact quite a few of our customers have used “locked” to mean “delivered.”
  • Analyze by Linguist
    • This new option makes it possible to generate separate analyses for all linguists with a single click.

  • New Languages Added
    • We have started supporting new languages in Memsource Cloud:
      • cld (Chaldean)
      • hak (Hakka Chinese)
      • hbs (Serbo-Croatian)
      • kpe (Kpelle)
      • kri (Krio)
      • man (Mandingo)
      • tet (Tetum)

  • Analyze Translation Memory Post-editing
    • A new option has been introduced to the post-editing analysis. With this option selected, the post-editing analysis will include not just machine translation edits but also translation memory edits.
    • Example: If a linguist modifies a 100% TM match by 10%, the analysis will return 90% with this option selected. The analysis will return 100% if the option is not selected.

  • Default Project Owner in a Project Template
    • It is now possible to set a default project owner in a project template.
    • This can be useful when projects are created in an automated way, for instance via an instant quote widget, and the projects should be assigned to different project owners based on specific source/target languages.
  • Change Source/Target Languages in an Existing Project
    • Previously, Memsource was very strict and made it impossible to change the source language or remove target languages from an existing project.
    • It is now possible to change the source language and remove target languages if it causes no harm (e.g. if no jobs, translation memories or term bases have been added to the project).
  • Shared Projects Available also in Trial Accounts
    • Previously, shared projects were not supported in trial accounts. This has changed now.

File Conversion

  • Configurable Context for XML Files
    • The context note for XML is not a new feature. However, previously it was not configurable.
    • Now it is possible to define what should be extracted as a context note.
    • The context note and other context information can be easily displayed for each segment in both Memsource Editor and Memsource Web Editor (Tools – Toggle Context).
    • Please note that the context note for XML is only supported in the XPath file import settings.

  • A New HTML File Import Option
    • “Convert to Memsource tags (use regexp)” is a new option in the HTML file import settings.
  • File Import Warning
    • Memsource will display a file import warning in some cases notifying the user of specific issues related to the imported file. These can be:
      • A MS Word file includes embedded MS Excel sheets.
      • Hidden cells are merged with visible cells in MS Excel.
      • Incorrect encoding for some localization file types.
      • Importing an SDLXLIFF with locked x tags.

User Management

  • Activate/deactivate Linguists Automatically
    • The option “Activate/deactivate linguists automatically” under Setup – Access and Security is now also available in the Team edition.
    • With this option on, linguist users are made inactive automatically once they set a job to completed if they have no other jobs open.
    • Before being made inactive, the following message is displayed to linguists:
      • “You have no other jobs in progress and your account will be deactivated until new jobs arrive. Proceed?”

Machine Translation

  • Safaba
    • Safaba MT engine is now available in Memsource Cloud.
  • PROMT
    • PROMT MT engine is now available in Memsource Cloud.

Memsource Cloud Already Number Two in Some Markets

Memsource Cloud has grown rapidly since its launch in 2011. The growth was especially strong in emerging markets, such as Brazil, Russia but also a number of Asian countries. 

A recent survey published in the Multilingual magazine states that Memsource Cloud is actually the second most popular CAT-tool among top LSPs in Russia. Only SDL Trados has more users within the professional community, as it has been around for a few decades already, while Memsource had its first paying customers in Russia in 2012.

According to the survey, conducted by translationrating.ru, 18 out of top 100 translation companies in Russia produce their translations in Memsource.

Among the users are Russia’s largest translation companies Neotech and EGO Translating, which make it every year to CSA’s list of 100 global translation providers. Memsource is also a tool of choice for established and well-known medium-sized LSPs, such as AKM Translations, AG .translate, Exprimo, Alpha and Omega, London-Moscow and MTA.

Some of the factors that have contributed to Memsource’s success in Russia:

  • Memsource is free for linguists. In Russia, CAT tools have been less established than in developed markets and the fact that translation companies can ask any of their translators to translate in Memsource for them is a valuable benefit.
  • Memsource is easier to use than most established CAT tools. Even translators that have no previous CAT-tool experience are able to get started in Memsource very quickly, which is often not the case with other translation tools.
  • The technical support that Memsource provides is very responsive and pro-active.
  • Memsource has localized its website and Memsource Cloud user interface into Russian (in part with the help of community translators).
  • Memsource has been very present in a number of emerging markets, including Russia – sponsoring translation industry trade shows, presenting at conferences, etc.
  • Memsource customers are very happy with the tool and have helped spread the word in their region. This has also been the case with clients in Russia where Memsource has received a number of encouraging testimonials. Some customers would even run Memsource webinars, presentations and even created dedicated pages on their websites.

 

Job Board & Shared Jobs: Memsource Cloud 4.6

Job Board

  • Introduction
    • Memsource job board (here is the job board manual and here is the job board page - will only work after the release) is a move into a new territory for Memsource but one that we think makes sense. The job board is a public page where Memsource project managers can publish their jobs and Memsource users with a Personal or 1+ Freelancers account (not linguist users) can respond to them. A number of our LSP customers have suggested we should introduce such a feature and we think it is a good idea and very much in line with our focus on promoting collaboration in Memsource.
  • How Does It Work?
    • Job board features are directly integrated into Memsource. To publish on job board, go to any project and click on “Share – Publish on Job Board…” Project managers and administrators of all paid Memsource editions with the exception of the 1+ Freelancers edition may post on the job board.

    • Fill in the form, select which target languages should be used for the job posting and then publish.

    • Your job(s) will get instantly published on the Memsource job board and at the same time relevant Memsource freelancers will be notified about your job posting.

  • Which Freelancers Will Be Notified?
    • We will notify all Personal and 1+ Freelancer edition users. We will also notify all Team Start administrators and project managers (never linguists).
    • As mentioned above, only relevant users will be notified. Currently it means that only users from organizations that have created jobs in the job posting’s source and target languages will be notified.
    • Job board notifications can be disabled in Memsource Cloud under Setup – Email Notifications and they will be disabled for the entire organization (we are planning to introduce a more granular approach to notifications in the future).
  • Responding to a Job Posting
    • Only Personal and 1+ Freelancer edition users plus all project managers and administrators may respond to a job posting (linguist users are again excluded).

  • Analyzing Responses
    • An overview of all responses is conveniently displayed right in the project.

  • Assigning Jobs
    • Once an agreement is made with any of the candidates, the job can be assigned to them either as a shared job (after establishing a vendor connection with them) or a linguist account can be created for them. This final process is already independent of the job board.
  • Any Concerns?
    • When discussing this feature with some of our beta testers, a concern has been raised that some linguists could in this way be lured away to another LSP – for instance by creating a freelancer account, next to their existing linguist account, and respond to job board postings in this way. This is indeed possible. However, it can be reasonably expected that the vast majority of LSPs’ linguists have registered on sites like ProZ.com and receive a number of job offerings already. Keeping an LSP’s linguists happy must be based on different things than just blocking their access to a job board.

  • Our Expectations
    • We expect the job board will gradually become a valuable way for connecting within the Memsource community. It will attract more freelancers to Memsource and therefore LSPs should be able to benefit from easier/faster access to linguist resources. And with the current growth that Memsource is experiencing, we think the job board can take off to become yet another useful tool for Memsource freelancers and LSPs. Let’s see!

Shared Jobs

  • Sharing in Memsource To Date
    • We have made sharing and collaboration a major focus of our product development in 2014, in particular with the introduction of shared projects and the instant quote widget.
      • Shared projects make it possible for separate organizations in Memsource Cloud to collaborate. For instance:
        • A corporate Memsource Cloud customer can assign a project to a translation company.
        • An MLV (multi-language vendor) can assign projects to SLVs (single-language vendors)
        • A translation company can assign projects to Memsource users with the 1+ Freelancers account (and not just to linguist users)
      • The instant quote widget makes it incredibly easy to embed instant quote functionality into any website or intranet (see how we have embedded it into our wiki).
        • After it has been set up, all a person needs to do is click on a link just like this one and upload his/her files for translation. No Memsource login information is needed.
        • A quote is generated instantly and sent to the person’s email for approval.
        • Once the files are translated, the person is again notified by email and can download the translated files. And so the instant quote widget can serve as a mini client portal.
  • Introducing Shared Jobs
    • The introduction of shared jobs was the next logical step after the introduction of shared projects. Shared projects work really well if a project is shared to a single external vendor. When multiple vendors need to be used for a project, the solution is to use shared jobs.
    • Sharing a job to an external vendor is incredibly easy.
      • First, a connection needs to be established between the vendor and the buyer organization, just like for shared projects.
      • From then on jobs can be assigned to the vendor in the exact same way as to a linguist:

      • Once assigned, the vendor project owner receives an email notification and can go ahead to assigning the shared job to their own linguists.
      • Linguist names are not displayed to external organizations. Only the vendor name is displayed in the buyer’s project.

  • Availability
    • Availability is identical with shared projects.
    • Subscribers to all paid editions (with the exception of  1+ Freelancers and Team Start editions) may act as both buyers and vendors.
    • Subscribers to the 1+ Freelancers and Team Start edition may only act as vendors.
  • Limitations
    • Vendors may not add their own translation memory or change project settings. (These features are currently only supported in shared projects.)

Project Management

  • Shared Projects
    • Previously, a project would be assigned to a vendor via the Assign to Vendor button. To share a project with a vendor from now on, go to a project and click on “Share – Share with Vendor…”
    • Please note that “Share with Vendor” will only show if you have created at least one connection with a vendor (you will need the vendor’s token to do this)

  • Fuzzy Repetitions
    • We have renamed the option “Include fuzzy repetitions” to ”Include internal fuzzies” to better express its meaning.
    • This option is displayed when creating a new analysis. From a functional perspective nothing has changed.
  • New Variables in Instant Quote Email Templates
    • instantQuote.submissionDate
    • instantQuote.price
  • New Languages
    • We have started supporting these new languages:
      • Serbian Cyrillic

  • Project References
    • It is now possible to add just a note as a reference to a project.

    • The context note for XLIFF files can now be user-defined in file import settings.

User Management

  • Enable MT
    • “Enable MT” is a new option introduced for linguist and guest users.
    • This option is enabled by default. If disabled, the user will not have access to MT in a job even if MT is enabled for that job/project.
  • Automated Linguist Deactivation
    • Linguists are notified before they are deactivated through the automated deactivation feature by the following warning:
      • “You have no other jobs in progress and your account will be deactivated until new jobs arrive. Proceed?”
      • The automated linguist deactivation feature is only available in the Team and Ultimate editions and automates linguist activation/deactivation.

Translation Memory

  • Aligner
    • When using a zip file to align multiple source and target files at once and some of the source and target file names are not named correctly, the following warning is now displayed:
      • “Some source file names could not be matched to target file names. Download aligned files that were successfully matched.”
      • Previously no warning was displayed.

User Survey: 93% Satisfied with Memsource

In September, we conducted a survey of our 30 000 users to establish if they are happy with Memsource, and why. A lot of responses that came in were both detailed and provided insights into what translation companies, freelancers, enterprises and even universities want from their CAT-tool. Today, we share some of this data.

Firstly, we’ve discovered that 93% of users expressed satisfaction with Memsource.

The ratio of satisfied corporate users is even better with 96% of users expressing their satisfaction. Four out of five project managers (PMs) from translation companies and enterprises are very happy with Memsource.

For us, this level of satisfaction expressed by users is a fulfilling and gratifying result, but we recognize there is room for improvement and will seek to improve the user experience to get as close to 100% as possible.

The most interesting finds were the reasons which contributed to a positive (or not) experience. What’s important for project managers? What are the principal requirements of freelancers? In Memsource both groups collaborate in a single environment. That’s why the bulk of responses concerned commonly used features.

Friendly Interface is the King

Number one cited reason for user satisfaction is how easy to learn Memsource is. According to the survey participants, the interface of the service is “simple”, “intuitive”, “clear” and “user-friendly” – to a point where it defines the whole experience.

PMs enjoy it that they can introduce freelance translators to the system quickly, and the linguists value not having to spend much time learning the program and can instead focus on paid work.

New users can learn Memsource Cloud in less than one hour, 72% of respondents agreed. This is especially useful for running large-scale projects and introducing translation memory technology to an enterprise that previously did not use it.

Good Support Means “Changing on the Go”

As a cloud-based software, Memsource can introduce most updates at any time without disrupting the work of our customers. Whenever a bug is detected, the Memsource team fixes it on the server. The user is not required to re-download or reinstall, and this is a huge advantage over desktop CAT-tools, and is especially important for Agile projects.

To demonstrate: the survey respondents pointed out a number of improvements for Memsource, and in less than two months since, our team has implemented over 55 fixes and new features. Few tools on the market can develop with the same velocity.

In addition to this ability to change the software on the go, Memsource has a support forum and email support system. 63% respondents said that their technical questions had been answered and problems had been solved by these two within one day after posting the initial issue.

CAT-tools Have a Need for Speed

Many users noted that Memsource is fast. Translators cited the speed and responsiveness of the Memsource (Web) Editor. For PMs it was important to create new projects with a template in a couple of clicks, as well as that data comes through API fast, allowing for smoother integration with other systems.

“Speed” as a criterion has more significant impact on experience than even “increase in productivity”. Users naturally expect a translation memory program to allow them to translate more per day, but responsiveness is not something taken for granted. Thus a fast CAT-tool makes its users happier.

At Memsource, we invest heavily in infrastructure so that the web editor and project management suite can run faster.

On a Final Note

A friendly interface, rapid support and being fast have the biggest impact on overall satisfaction. But for individual users, a lot of smaller features make a world of difference.

Survey respondents named over 30 particular functions that mattered to them, from general ones like centralized translation memory and the ability to organize files in the cloud, to very specific ones like seamless integration with the PhraseExpress productivity tool. Personal preferences depended on user group (project managers or freelancers), experience, and language combination used.

Memsource Cloud 2.6 has just been released. This version includes over 120 improvements and bug fixes.

New Machine Translation Options

  • We have added new machine translation engines to which Memsource users can connect out of the box as well as new features
    • Systran is now supported out of the box in MemSource
    • Microsoft Translator Hub is also supported out of the box in MemSource, including the “feedback” option (see below)
    • We have also redesigned the user interface to handle MT; it is much easier now “create” new machine translation engines, configure specific MT domains, etc.
    • We have also introduced an optional “feedback” feature for MT engines that support this (e.g. Microsoft Translator Hub). When feedback is enabled, post-edited translations are sent to the MT engine to improve it
  • A new quality assurance check: ”No text between tags”
    • When there is no text between paired tags in the target but there is some in the source, a warning will get triggered in quality assurance
  • MXLIFF files can now be directly imported into Memsource translation memory, as if it was a TMX file
    • In fact the “Import TMX” button is used for this

The following is a recap of our webinar Translation Trends for 2015 featuring David Canek, Chris Wendt, Jan Hofmeister and Torben Dahl Jensen.

Main trends:

1)      Growth of the Cloud.

In the beginning of the webinar, CEO of Memsource David Canek stated that from his perspective, the primary trend in the translation industry is the advent of the cloud technology.

Throughout 2014, Memsource’s user base more than doubled, reaching 30,000 users. Over 1,500 translation providers now sign up for the service every month, and approximately 100 million words are translated. According to a survey carried out in September 2014, more than 93% of Memsource users are satisfied with the service. These figures are indicative of a strong growth in the use of cloud tools.

The second trend emphasized by David was the rise of Machine Translation (MT). Since introducing analytics in Memsource, it is now possible to calculate exactly how widespread the use of MT has become. Over the past year, 47% of all translations in Memsource have been carried out with the support of MT. This is an impressive figure, since Memsource users are mostly professional translators and translation agencies and use MT with post-editing to improve overall productivity. In comparison, 72% of projects leveraged translation memory technology, while only 42% projects utilized term bases.

The third trend mentioned was the move from isolated “silos” in the supply chain to closer collaboration and sharing of language assets between buyers, LSPs and translators. In 2014, Memsource launched Shared Projects, Shared Jobs, Instant Quote and other collaboration features to facilitate this transition.

David Canek announced that in 2015 under the LSP Partner program, Memsource will focus on empowering translation companies to become solution providers. This business model implies that LSPs manage the linguistic assets of their clients, and provide a technology platform in addition to translation services.

Chris Wendt, Group Program Manager at Microsoft, introduced machine translation Post-Publish Post-Editing, or P3. The concept is to publish raw machine translation first, and then do post-editing on a live web page.

Post-Publish Post-Editing allows inexpensive translations to be produced instantly, and human translators can improve the quality later on in a “lazy fashion”. P3 can even leverage community translation and engage domain experts, enthusiasts, or the buyer’s company employees since time constraints are more relaxed in P3 than in professional human translation.

Chris explained that while MT post-editing is used to achieve human translation quality with less effort, in reality the productivity gains are usually not very impressive. This is due to quality control and management creating too large of an overhead.

In contrast, with P3 productivity gains are much greater, because only relevant pieces of content are localized. The rest is left to raw machine translation, which in many cases is good enough for practical purposes. Chris suggested that in 2015, Post-Publish Post-Editing will occupy the middle ground between raw MT and human-quality post-editing.

Jan Hofmeister, Senior Project Manager at Moravia, focused on his company’s transition to the cloud translation environment as well as a massive systems integration project to automate content flow.

There were a number of requirements that led to selecting Memsource as the cloud environment of choice. These included:

1)      The ability to exchange files between PMs and vendors without resorting to email.

2)      Agile content flow: Moravia’s clients often change source texts on the fly, and these changes can be shared with translators in real time.

3)      Previewing of completed translations for specific file types.

4)      API to integrate the platform with Moravia’s internal tools for QA, internal MT engines, accounting.

Once the integration was complete, Moravia had fully automated several steps in project management, including content pre-processing, uploading, task assignment, and more. The resulting solution is now equipped with analytics that calculate costs and deadlines for clients. This is a very welcome and appreciated feature. Jan concluded his presentation by stating that Moravia will continue with the integration of their own workflow and content systems with those of their customers and with Memsource.

Moravia localizes most of the content into 20 languages, and in some cases into 100 languages, with the average throughput measured in millions of words per month. Its technology approach sets an example for other providers. It is likely that more translation companies will follow in these steps and focus on automation and connecting their systems with those of the clients.

Torben Dahl Jensen, Partner and Language Technology Manager at TextMinded explained what it means to be a translation solution provider.

The model treats all people working on a translation project as a community – possibly including the buyer’s in-house specialists, LSP staff, freelance translators and subject matter experts – and aims to give this community a single platform to collaborate and share linguistic assets.

Torben provided an example: one of their important clients had an internal translation department, and they sourced additional volumes that they couldn’t process internally to TextMinded. Initially the translation company built their own terminology and term base for this project. The client then asked whether it was possible to share translation memory and terms. In response, TextMinded built a solution with simultaneous data access using Memsource.

At the end of his presentation, Torben emphasized the importance of sharing language assets and connecting different groups of specialists involved in producing translations for the same client organization. The move in this direction – sustainable communication – is going to be one of the major trends in 2015.

Josef Kubovsky Promoted to Memsource Sales Director

Memsource’s Business Development manager Josef Kubovsky has been promoted to Sales Director.

He will lead the sales and marketing team assembled during 2014 to drive the company’s expansion. Memsource is growing rapidly, and in the three years since its launch, the number of users has increased from zero to over 30,000 people. Josef has been with Memsource from the start and much of this growth can be attributed to his efforts.


In his 10 years in the translation industry, Josef met and worked with hundreds of language service providers in the US, and Eastern and Western Europe. Each year he travels to several dozen professional conferences and networks with companies all around the world: from US and Europe to Japan and Russia.

After receiving a degree in International Relations at the Metropolitan University in Prague, Josef worked his way up from Sales Manager and Branch Manager to Business Development Manager in a regional translation company, an international MLV, and, finally, in Memsource Cloud, a cloud translation environment tool. Josef speaks English, Czech, Russian and Chinese.

WordPress XLIFF & DocBook Support Added: Memsource Cloud 4.8 Release

Memsource Cloud 4.8 is scheduled for release on Sunday, 1 February 2015 at 10:00 AM GMT. Memsource Cloud 4.8 includes over 100 improvements and bug fixes. These are some of the most notable improvements:

File Conversion

  • WordPress XLIFF Support
    • We have introduced a new file type that will let WordPress users of the WPML multilingual plugin easily translate WordPress XLIFF files in Memsource.
    • When importing WordPress XLIFF files generated by the WPML plugin, make sure to manually select the “WordPress XLIFF” file type in the new job screen.

  • DocBook Support
    • We have started supporting the DocBook (*.dbk) file type with the following file import options:

  • HTML Character Entity Conversion
    • We have introduced a new option for HTML files that makes it possible to convert character entities into Memsource tags by tweaking the HTML file import settings. This is how it works:
      • The provided list of HTML character entities (comma separated) will be converted to Memsource tags (for example, ,©). If empty, no entity will be converted to a Memsource tag. If * is entered, all character entities will be converted to Memsource tags.

Data Storage

  • Deletion of Translation Memories from Expired Accounts
    • From 1 February 2015 on, we will start deleting translation memories from Memsource accounts that have expired for at least 6 months as well as from unused Personal accounts that have not been used for at least 6 months (nobody has logged into the free Personal account for at least 6 months).
    • The process explained:
      • If an account has been expired for at least 6 months or if a free Personal account has not been used for at least 6 months, the administrator user of the expired account will be notified by email that the account’s translation memories will be moved to the account’s recycle bin.
      • The administrator user can disregard the message and in that case the translation memories will be deleted permanently from the recycle bin after 30 days. Or, the administrator user may log into the account and restore the translation memories from the account’s recycle bin.

Project Management

  • A New Workflow Step Option
    • We have introduced a new global option under Setup – Access and Security as well as under project’s Access and Security settings: “Linguists may start a workflow step only if the preceding step has been completed.”
      • This option is selected by default and makes it possible for linguists to initiate a workflow step even if the preceding workflow step has not yet been completed (in this case the linguist receives a warning).
      • Thanks to the new option it is possible to prohibit linguists from starting to work on a job in such a case.

  • Download Multiple Analyses
    • Multiple analyses can now be downloaded in the CSV or LOG formats at once via the new Download button in the project’s analysis section.
  • Visual Analysis
    • An analysis can now be viewed not just in a tabular format but also in the new visual format. This can be useful for a quick overview when, for instance, multiple target languages are involved.

  • New Languages Added

    • When making a payment, we will now check whether the provided VAT number is valid (applies only to EU-based organizations registered for the EU value added tax).
  • Security
    • Trusted IP Ranges
      • We have introduced a new security feature: “Trusted IP Ranges” under Setup – Access and Security. This feature lets administrator users set IP ranges from which users may log in. Users accessing from outside the specified IP ranges will not be allowed to access.
      • This feature is only available in the BIZ Ultimate edition.

  • TBX Imports of Non-supported Metadata
    • When importing a non-Memsource TBX from that has metadata not supported by Memsource, that metadata will be imported into the Note field in the Memsource term base.
  • Web Editor Auto-complete Feature
    • Technically speaking, this feature is part of a separate Memsource Web Editor release which we will cover later on in more detail. However, we think it is worthwhile mentioning here.
    • The Web Editor will have an auto-complete feature starting from 1 February 2015. Initially, this feature will not offer a multitude of auto-complete suggestions but this should change over time.

Machine Translation

  • Custom Machine Translation Engines
    • We have introduced better support for custom machine translation engines.
    • Custom MT engines can now be made private and in that case will be visible only for selected organization(s) when creating a new MT engine configuration.
  • Tauyou and NICT Engines Improvements
    • We have optimized our integration with the Tauyou and NICT MT engines and added a few extra configuration parameters.

API

  • Shared Jobs API Introduced
  • Word Count Available through API
    • Word count is now returned in a number of relevant API responses, such as in the get segments API response.
  • List Pending Requests API Introduced

Vendors Can Add TMs to Shared Jobs: Memsource Cloud 4.9 Release

Memsource Cloud 4.9 is scheduled for release on Sunday, 22 February 2015 at 10:00 AM GMT. The new version comes relatively soon after the launch of Memsource Cloud 4.8 and it includes one major improvement, plus a number of smaller improvements and bug fixes. These are some of the most notable improvements:

Shared Jobs

  • Vendors can now add TMs to Shared Jobs
    • This is a major improvement for Shared Jobs. So far, vendors could only use their own private translation memory in Shared Projects but not in Shared Jobs. This is now made possible.
    • You will find more details about the concept of sharing projects and jobs in our documentation.

Bilingual XML

  • Memsource now supports the import of bilingual XML files
    • Memsource supports XML files with both source and target elements present for all paragraphs (even if the target is empty).
    • When the source and target segmentations are different, the source segmentation is determining.
    • In order to import a bilingual XML, select Bilingual XML under File Type in File Import Settings.

Widget User Interface Language

  • Users can now set the user interface language in which Instant Quote Widgets will be displayed
    • On the IQ Widget setup page, it is now possible to choose the UI language  that will be used for the Widget. Users can select one of the languages into which Memsource user interface is currently localized.

Spellchecker for Turkish

  • We have added a spellchecker dictionary for Turkish
    • Turkish is now also supported by Memsource spellchecker.

Miscellaneous

  • File renaming option also available from project settings
    • Previously, the file renaming option was only available from the global settings. It is now also part of the project settings and project templates.
  • New e-mail macros
    • It is now possible to specify the Client and the Domain in the e-mail notifications sent from Memsource. You will find the full list of e-mail macros available for use in e-mail templates in our documentation.
  • Turn off Web Editor auto-complete feature
    • It is now possible to turn off the Web Editor auto-complete feature. You will find the option under Tools – Preferences.
